Personal Information : The following information is kept in respect of all ACCA students:

  • Student ID number

  • Surname

  • Forenames

  • Address

  • Postcode

  • Telephone Numbers

  • Email address

  • Date of Birth

  • CV and original application form

  • ACCA exam transcripts and prior qualifications

  • Evidence of English language proficiency (if applicable)

  • Emergency contact details and consent for contact

  • Date of course commencement

  • Details of course fees and payment records

  • Details of assignment, mock exam, and continuous assessment grades

  • Records of any student grievances raised

  • Details of any disciplinary or academic integrity cases which are active

  • ACCA registration number and status

The following additional information may be held where relevant:

  • Sickness/medical records and reports (e.g., for reasonable adjustments in exams)

Storage of Personal Information
All physical student records are kept securely in locked filing cabinets within either the Admissions Department or the Academic Registry at FinT Learning Hub.

Student Management System
In addition to physical document storage, the Admissions Department verifies and processes all student documents. After verification and authorisation by the Admissions Manager, the student file is transferred to the Academic Registry. All core student information, academic progress, attendance, and interactions are recorded and accessible through the LMS system. Please note that communications and meetings with members of the Student Support team may also be recorded within the system.

The Data Controller
The Chief Operating Officer (Controller) at FinT Learning Hub is responsible for ensuring compliance with data protection law and safeguarding personal information. The Data Controller has primary administrative access to LMS for managing student records. For any questions or concerns regarding your data, please contact the Chief Operating Officer.

Recording Personal Information
We comply with the UK Data Protection Act 2018 and UK GDPR as well as local data protection act. All personal information must be recorded formally and accurately. In exceptional circumstances where immediate formal recording is not possible, any temporary notes containing personal data must be transferred to the official student record without delay. Any subjective notes or opinions must be clearly justified and signed and dated by the author before formal filing.

Your Access to Your Personal Information
You have the right to request access to the personal information we hold about you (a Subject Access Request). Please submit your request in writing to the Data Protection Officer. Please note that you may not have access to confidential internal management information or confidential third-party references. To process your request, we may require proof of identity. We will respond to your request within one calendar month.

Complaints
If you have concerns about how your personal information has been handled, please raise them with the Chief Operating Officer in the first instance. You have the right to request the correction of inaccurate data or, in certain circumstances, the deletion of your data.

Disclosure of Information
We will not disclose your personal information to any external third party without your consent, unless required or permitted by law (e.g., to ACCA, for safeguarding purposes, or to relevant authorities). Staff must not disclose information about any past, present, or prospective student to a third party unless authorised to do so by the Chief Operating Officer. Unauthorised disclosure will be treated as a serious matter under our Disciplinary Procedure and may constitute a criminal offence. All external requests for student information must be made in writing and referred to the Data Protection Officer.

Record Keeping for Students
FinT Learning Hub has maintained student records since its establishment. The implementation of the LMS system has allowed for the secure, detailed, and efficient management of student data, including course enrolment, module progress, ACCA exam entry status, and personal details. This centralised system supports effective communication, academic monitoring, and alumni engagement. We are committed to using this system to enhance the support provided to our students throughout their ACCA journey and beyond into their professional careers.
